Privacy policy
Positive Electrics Pty Ltd (“Positive Electrics”, “we”, “us”) is an electrical contracting business in Pakenham, Victoria. This policy explains how we handle personal information, including the information held in this web application.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
What we collect
We only collect what we need to run the business. Depending on your relationship with us, that may include:
- Contact details — name, business name, postal and site addresses, phone numbers and email addresses.
- Job and quoting information — what you asked us to do, site access details, the work performed, materials used, photographs of the work and installation records.
- Billing information — quotes, invoices, purchase orders and payment records. We do not store full card numbers.
- Employee and contractor information — for our own staff and subcontractors: employment and licensing details, rosters, timesheets, hours worked, allowances and reimbursement claims, and where clock on is used, the time and approximate location of a clock on or off.
- Account and technical information — sign-in details for people with access to this application, and ordinary server logs such as IP address, browser type and the pages requested, kept for security and troubleshooting.
Payroll onboarding details
Where a new staff member provides payroll details — tax file number, superannuation fund and bank account — those details are forwarded to our accounts team and are not stored in this application. They cannot be viewed, searched or downloaded from it.
How we collect it
Usually directly from you: when you contact us, request a quote, engage us for work, or use this application. We also receive information from our job management system, from builders, head contractors and property managers who engage us on a site, and from publicly available sources.
Why we use it
- To quote, schedule, perform and invoice electrical work.
- To meet our obligations for electrical safety, compliance certification and record keeping.
- To manage rosters, timesheets, payroll and workplace health and safety.
- To respond to enquiries, warranty claims and service requests.
- To operate, secure and improve this application.
- To meet legal, insurance, tax and regulatory obligations.
We do not sell personal information. We do not use it for marketing by a third party.
Who we disclose it to
We disclose personal information only where it is needed for the purposes above, to:
- our staff and subcontractors, to the extent needed to carry out the work;
- the builder, head contractor, property owner or manager for the site, where the work requires it;
- our service providers — including cloud hosting, job management, accounting, email and SMS providers — who are bound to use it only to provide their service to us;
- our accountants, insurers and professional advisers;
- regulators, electrical safety bodies and government agencies where we are required or authorised by law.
Where it is stored, and overseas disclosure
This application and its database are hosted in Microsoft Azure data centres in Australia. Some of our service providers, particularly for email and SMS delivery, may store or process information overseas. Where that happens we take reasonable steps to ensure the recipient handles the information consistently with the Australian Privacy Principles.
Security
Access to this application requires an individual account, and access to information within it is limited to the people whose role requires it. We take reasonable steps to protect personal information from misuse, loss and unauthorised access — including encrypted connections, access controls and audit logging. No system can be guaranteed secure, and we make no absolute guarantee.
How long we keep it
We keep personal information only as long as we need it for the purposes above or as the law requires — employment, tax and electrical compliance records in particular carry minimum retention periods. After that it is destroyed or de-identified.
Cookies
This application uses cookies that are necessary for it to work — principally to keep you signed in and to protect forms against cross-site request forgery. It does not use advertising cookies. You can block cookies in your browser, but the signed-in parts of this application will not function without them.
Accessing and correcting your information
You may ask us for a copy of the personal information we hold about you, and ask us to correct it if it is wrong. Write to us at sales@positiveelectrics.com.au. We will ask you to verify your identity, and we will respond within a reasonable period. If we refuse a request we will tell you why in writing.
Complaints
If you believe we have mishandled your personal information, contact us first at sales@positiveelectrics.com.au so we can look into it. We will acknowledge your complaint and respond within a reasonable period.
If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner at www.oaic.gov.au or on 1300 363 992.
Changes to this policy
We may update this policy from time to time. The current version is always on this page and applies from the date shown below.
